Advancing Legal Video (“ALV,” “we,” “us,” or “our”) respects the privacy of our members, visitors, contributors, and community participants. This Privacy Policy explains what information we collect, how we use it, what information may be public, and the choices you have when using ALV websites, member tools, community features, public maps, directories, forums, events, forms, and related services.

This policy applies to ALV-operated websites and services, including legalvideo.org, ALV member areas, community content areas, forums, public and member-only directories, map/profile features, event or registration pages, and related staging or test environments when real user information is submitted.

This policy is intended to be written in plain language. It is not intended to limit any privacy rights you may have under applicable law.


1. Who We Are

Advancing Legal Video is a professional community focused on supporting legal video professionals through education, mentorship, public engagement, community discussion, standards development, and industry resources.

2. Information We Collect

We collect information in several ways, depending on how you use ALV.

A. Account and Membership Information

When you create an account, become a member, update your profile, or manage your membership, we may collect:

  • Name
  • Display name
  • Username
  • Email address
  • Password or authentication credentials, stored securely through WordPress or our authentication systems
  • Membership level or subscription status
  • Billing status and membership history
  • Account preferences
  • Profile photo or avatar, if uploaded
  • Website, company name, phone number, LinkedIn profile, or other professional contact information, if provided
  • Administrative notes or records needed to manage the account

B. Payment and Transaction Information

If you purchase a membership, event registration, product, course, digital resource, or other paid offering, we may collect or process information related to the transaction, such as:

  • Name
  • Email address
  • Billing details
  • Membership or product purchased
  • Transaction date
  • Payment status
  • Refund or cancellation status

Payment card or bank information is typically processed by a third-party payment processor and not stored directly by ALV in full card form. The payment processor may provide ALV with limited transaction details, such as payment status, transaction ID, and the last four digits or type of payment method where applicable.

C. Public Member Map and Directory Profile Information

If you choose to participate in the ALV Member Map, member directory, public member profile, or related directory tools, we may collect information such as:

  • Display name
  • Company name
  • Public contact email, if provided
  • Public phone number, if provided
  • Website
  • LinkedIn profile URL
  • Profile photo
  • City, state, region, and country
  • Service area or coverage area
  • Services offered or specialties
  • Description of services
  • Professional bio
  • Legal video start year or years of experience
  • Remote service availability
  • ALV endorsements or credentials assigned by ALV administrators
  • Reviews, ratings, reputation information, or other member feedback features, if enabled

Some of this information may be publicly viewable if you choose to publish it or make it visible through your map or directory settings.

D. Private Location and Geocoding Information

For the ALV Member Map, we may collect exact addresses or private geocoding information for the purpose of placing a map pin, determining a service area, or managing member map features.

Unless you choose to show an exact address publicly, ALV’s intent is to keep exact geocoding addresses private and display only the public location level you select, such as city, state, region, or country.

E. Community Content, Forums, Comments, Reviews, and Submissions

If you post, submit, upload, comment, review, or participate in ALV community features, we may collect:

  • The content you submit
  • Author name or display name
  • Post title, body, excerpt, summary, image, video link, or uploaded files
  • Forum topics and replies
  • Comments on articles, videos, guides, or other content
  • Reviews or ratings, if enabled
  • Submission date and edit history
  • Moderation status
  • Related metadata, such as post type, category, tags, or associated member account

Depending on the area of the site, community content may be public, member-only, or restricted to certain users. Do not submit client-confidential, case-confidential, court-protected, privileged, sealed, or sensitive legal proceeding information unless ALV has expressly provided a secure feature for that purpose and you have authority to submit it.

F. Event, Program, Survey, and Education Information

If you register for or participate in ALV events, huddle hours, surveys, seminars, standards work, endorsement programs, mentorship programs, continuing education, or other ALV programs, we may collect:

  • Registration information
  • Attendance records
  • Program participation information
  • Survey responses
  • Questions, comments, or feedback
  • Submitted materials
  • Certificate or completion information, if applicable
  • Communications related to the program

Some survey results or community feedback may be reported in aggregated or anonymized form.

G. Communications With ALV

When you contact ALV, submit a form, email us, request help, report a problem, or communicate with us, we may collect:

H. Technical, Usage, Security, and Device Information

I. Push Notification Information

If ALV offers push notifications and you choose to subscribe, we may process information needed to deliver notifications, such as:

  • Followed forums, discussions, posts, articles, videos, or comment threads

You can unsubscribe from push notifications using the notification preferences provided by ALV, your browser/device settings, or the unsubscribe controls available on the site.

B. To Operate the Public Member Map and Directory

We use map and directory information to:

  • Create member listings
  • Display public map profiles when a member opts in
  • Display public fields chosen by the member
  • Place map pins using city/region or exact address settings
  • Show services, coverage areas, and professional details
  • Help visitors find legal video professionals
  • Maintain member-only directory and profile features

C. To Support Community Features

We use submitted content and participation information to:

  • Publish or display articles, videos, guides, forum posts, comments, reviews, or other submissions
  • Attribute content to authors or display names
  • Moderate content
  • Prevent spam and abuse
  • Support editing, updating, and deleting content
  • Encourage professional discussion and collaboration

D. To Process Payments and Purchases

We use payment and transaction information to:

4. Public Member Map, Directory, and Profile Controls

The ALV Member Map may be publicly viewable. Members control whether they appear on the public map and which optional fields are shown publicly.

If you opt into the public map, some basic listing information may be used to create your map profile, such as your general location, service area, listed services, and profile information. Optional public fields may include your name, company, phone number, email address, website, LinkedIn profile, profile photo, service description, professional bio, and exact address only if you choose to show those fields.

ALV may use private location information internally to place a map pin or manage your member profile, but exact addresses should not be shown publicly unless you choose a setting that displays the exact address or exact-address pin placement.

Because public map and profile information may be visible to visitors, search engines, and third-party websites, only provide information you are comfortable making public. You may update your profile settings or ask ALV for help changing or removing public directory information.


5. Member-Only Areas and Public Areas

Some ALV content may be public, while other content may be available only to members or certain membership levels.

Examples of public areas may include:

  • Public pages
  • Public map or directory listings
  • Public member profiles, where enabled
  • Public posts or announcements
  • Public-facing event or registration pages

Examples of member-only or restricted areas may include:

  • Forums
  • Community content
  • Huddle Hour archives
  • Member-only directory tools
  • Member education resources
  • Member profile tools
  • Certain comments, discussions, or private resources

Even in member-only areas, information may be visible to other ALV members, administrators, moderators, service providers, and others with authorized access. Do not post information that you are not authorized to share.


6. Legal Bases for Processing for EU/UK Users

Where EU, UK, or similar privacy laws apply, we rely on one or more legal bases to process personal information, depending on the context:

  • Contract or membership relationship: to provide membership, account access, paid services, events, and requested features.
  • Consent: for optional public map/profile fields, certain marketing communications, certain cookies or analytics where required, push notifications, and other optional features.
  • Legitimate interests: to operate, secure, improve, and moderate ALV services; prevent abuse; maintain professional community features; and communicate about relevant account or service matters.
  • Legal obligations: to keep required financial, tax, compliance, or legal records and respond to lawful requests.
  • Vital or public interests: only where applicable and necessary, such as protecting safety or preventing serious harm.

Where we rely on consent, you may withdraw consent where applicable. Withdrawing consent may limit access to certain optional features, such as public map visibility, public contact display, cookies, analytics, push notifications, or marketing communications.


7. Who We Share Information With

We do not sell member profile information as a standalone product. We may share information with service providers, vendors, partners, or authorities when necessary to operate ALV, provide requested services, comply with law, or protect ALV and users.

Examples include:

A. Website, Hosting, and Infrastructure Providers

We may use hosting, WordPress, database, security, backup, caching, and infrastructure providers to operate the website and store data.

B. WordPress Plugins and Website Tools

ALV uses WordPress and may use plugins or tools for membership management, forms, maps, directories, forums, comments, media uploads, security, caching, analytics, payments, email, events, and community features. These tools may process information needed to provide those functions.

C. Membership and Payment Providers

We may share information with membership management tools and payment processors to process transactions, manage subscriptions, and maintain payment records.

D. Email, Notification, and Communication Providers

We may use email delivery services, newsletter tools, push notification providers, or communication tools to send account notices, community notifications, newsletters, event updates, and other communications.

E. Map, Geocoding, and Location Providers

We may use map or geocoding providers to place pins, display map features, calculate or display service areas, or support public and member-only location tools.

F. Analytics and Performance Tools

We may use analytics or performance tools to understand site traffic, improve site features, identify errors, and measure engagement.

G. Moderators, Administrators, and ALV Team Members

Authorized ALV personnel, administrators, moderators, contractors, or volunteers may access information as needed to operate the site, moderate content, provide support, manage memberships, administer programs, or enforce rules.

H. Legal, Compliance, and Safety Recipients

We may disclose information when we believe it is necessary to comply with law, respond to lawful requests, enforce policies, protect rights or safety, prevent fraud or abuse, or defend ALV or others.

I. Business or Organizational Changes

If ALV changes structure, merges, transfers operations, or reorganizes, information may be transferred as part of that process, subject to appropriate privacy protections.


8. Cookies and Similar Technologies

ALV websites may use cookies, local storage, pixels, and similar technologies to:

  • Keep users logged in
  • Remember preferences
  • Maintain security
  • Process forms and payments
  • Support member features
  • Analyze site usage
  • Improve performance
  • Support embedded media, maps, videos, or third-party tools
  • Support marketing or outreach, if enabled

Some cookies are necessary for the site to function. Others, such as analytics, marketing, embedded media, or third-party tracking cookies, may be optional depending on applicable law and ALV’s cookie settings.

Where required, ALV will provide cookie information and consent choices for nonessential cookies. You can also control cookies through your browser settings, but disabling cookies may affect login, membership access, checkout, forms, map tools, or other site features.

ALV should maintain a separate Cookie Policy or cookie preference center if analytics, advertising pixels, embedded media tracking, or other nonessential cookies are used.


9. Email Communications

ALV may send different types of email:

A. Transactional or Relationship Emails

These may include account notices, password resets, membership confirmations, receipts, renewal reminders, security notices, support responses, forum or discussion notifications, comment notifications, and other messages related to your account or requested services.

B. Marketing, Newsletter, and Promotional Emails

These may include newsletters, event announcements, educational opportunities, program updates, partner announcements, fundraising updates, or promotional content. Where required, ALV will provide an unsubscribe option or other opt-out method.

Opting out of marketing emails does not necessarily stop transactional or relationship emails needed to manage your account, membership, purchases, security, or requested services.


10. Push Notifications

If push notifications are available, they are optional. You may subscribe to receive notifications about forums, discussions, community content, comments, or other ALV activity.

Push notifications may involve device or browser subscription identifiers and notification preferences. You can unsubscribe through ALV notification settings, browser settings, device settings, or any unsubscribe controls provided by ALV.


11. User-Submitted Content and Professional Responsibility

ALV community features are intended for professional education, discussion, and engagement. Users are responsible for the content they submit.

Do not submit information you are not authorized to share, including:

  • Client-confidential information
  • Case-confidential information
  • Privileged information
  • Sealed or protected court materials
  • Private information about witnesses, parties, attorneys, court reporters, videographers, vendors, or clients without authorization
  • Sensitive personal information that is not necessary for the purpose of the feature
  • Copyrighted material you do not have permission to use

ALV may moderate, remove, restrict, or preserve content when needed to enforce rules, maintain community standards, protect users, or comply with legal obligations.


12. Reviews, Endorsements, Reputation Features, and Professional Listings

ALV may offer reviews, endorsements, reputation indicators, badges, or similar features to support professional trust and community engagement.

  • Endorsements or credentials assigned by ALV may be displayed on member profiles, maps, or directories if approved by ALV.
  • User-submitted reviews or feedback may be visible to other members or the public depending on the feature design and visibility settings.
  • ALV may moderate, remove, investigate, or restrict reviews or endorsements that appear inaccurate, abusive, fraudulent, misleading, irrelevant, or inconsistent with ALV policies.

Reviews, endorsements, and reputation indicators are not guarantees of performance, availability, legal compliance, or suitability for any particular matter.


13. How Long We Keep Information

We keep information only as long as reasonably necessary for the purposes described in this policy, unless a longer retention period is required or permitted by law.

General retention practices may include:

  • Account and membership information: kept while the account is active and for a reasonable period afterward for administrative, legal, security, or recordkeeping purposes.
  • Payment and transaction records: kept as needed for accounting, tax, refund, dispute, and compliance purposes.
  • Public map and directory information: kept while the member participates in the feature; removed or unpublished when the member opts out, cancels membership where applicable, or requests removal, subject to technical and legal limitations.
  • Private geocode/location information: kept while needed for map or directory features and removed or updated when no longer needed, unless retained for legitimate administrative or legal reasons.
  • Community content: may remain available unless removed by the user, ALV, or as required by applicable rules. Some content may remain as part of community records even if an account is later closed, unless deletion is required by law or approved by ALV.
  • Security logs and technical records: kept for a reasonable period to protect the site, troubleshoot problems, and investigate abuse.
  • Support communications: kept as needed to respond to requests and maintain service history.

ALV may anonymize or aggregate information so it no longer identifies a particular person, and may retain anonymized or aggregated information for research, reporting, or improvement.


14. Security

ALV uses reasonable administrative, technical, and organizational safeguards designed to protect personal information. These may include access controls, account permissions, secure hosting practices, backups, security monitoring, plugin and system updates, password protection, and limiting access to information where appropriate.

No website, database, email system, or internet transmission is completely secure. Users are responsible for maintaining strong passwords, protecting account access, and promptly notifying ALV of suspected unauthorized account activity.


15. International Users and Data Transfers

ALV is based in the United States or operates primarily through U.S.-based website infrastructure unless otherwise stated. If you access ALV from outside the United States, your information may be processed in the United States or other countries where ALV, its vendors, or service providers operate.

These countries may have privacy laws different from those in your country. Where required, ALV will use appropriate safeguards for international transfers, such as contractual protections, vendor data processing terms, or other lawful transfer mechanisms.


16. Your Choices and Privacy Rights

Depending on where you live and how you use ALV, you may have rights to:

  • Access personal information we hold about you
  • Correct inaccurate information
  • Update your account or profile
  • Delete certain information
  • Opt out of the public member map
  • Control which optional fields appear publicly
  • Unsubscribe from marketing emails
  • Disable push notifications
  • Request export of certain information
  • Object to or restrict certain processing where applicable
  • Withdraw consent where processing is based on consent
  • Lodge a complaint with a privacy authority where applicable

We may need to verify your identity before fulfilling certain requests. We may deny or limit requests where allowed by law, such as when information must be retained for security, fraud prevention, legal compliance, accounting, dispute resolution, or protection of others’ rights.


17. California and Other U.S. State Privacy Notices

Some U.S. state privacy laws provide additional rights to residents of those states. ALV will respond to applicable privacy requests as required by law.

ALV does not intend to sell personal information. If ALV uses advertising, analytics, pixels, sponsorship tracking, or similar tools that may be considered “sharing” or targeted advertising under certain state laws, ALV should provide any required notices, opt-out controls, or cookie preference tools.

Categories of information ALV may collect are described in this policy and may include identifiers, contact information, account information, payment-related records, internet or electronic activity, professional information, user-submitted content, and approximate location or map/profile information.


18. Children’s Privacy

ALV is intended for adults and professionals in or connected to the legal video industry. ALV is not directed to children. We do not knowingly collect personal information from children under 13, or a higher age if required by applicable law. If you believe a child has provided personal information to ALV, contact privacy@legalvideo.org.


19. Third-Party Links, Embeds, and Services

ALV may link to or embed third-party websites, videos, maps, payment pages, social media platforms, event tools, or other services. Those third parties may collect information according to their own privacy policies.

ALV is not responsible for the privacy practices of third-party websites or services that we do not control. Review their privacy policies before providing information to them.


20. Changes to This Privacy Policy

ALV may update this Privacy Policy from time to time. When we make changes, we will update the “Last Updated” date above. If changes are material, we may provide additional notice, such as posting a notice on the website, emailing members, or requiring renewed consent where appropriate.

Your continued use of ALV after an updated policy becomes effective means the updated policy applies to your use going forward.
