By registering for the Advancing Legal Video (ALV) Conference, you agree to this Conference Registration Policy and any event-specific instructions provided by ALV before or during the conference.
Registration and Attendance
Conference registration is issued to the individual attendee listed on the registration form. Attendees are responsible for providing accurate registration information and notifying ALV if any information changes before the event.
Registration may not be shared between multiple people. ALV may require attendees to wear conference badges, wristbands, or other credentials while attending conference sessions, meals, receptions, workshops, or other conference activities.
Payment and Final Sales
All conference registration sales are final. Conference registration fees help ALV reserve event space, plan programming, coordinate attendee materials, and cover administrative costs. Because those commitments are made in advance, ALV does not guarantee refunds, credits, or transfers for any registration purchase.
If you register and later become unable to attend, we ask that you consider your registration fee a contribution supporting ALV’s nonprofit mission, conference planning, and community programming.
Refunds
All sales are final. A refund request may be submitted in writing to ALV, but submitting a request does not guarantee that a refund will be approved. ALV may review exceptional circumstances on a case-by-case basis when appropriate.
Any approved refund may be reduced by payment processing fees, administrative costs, or other nonrefundable expenses already incurred by ALV.
Transfers and Attendance Type Changes
If you are unable to attend, you may request to transfer your registration to another eligible attendee. Transfers are not guaranteed and will depend on event logistics, registration requirements, timing, and the replacement attendee’s eligibility for the same registration type.
Transfer requests must be submitted in writing before the event begins and must include the replacement attendee’s name, email address, phone number, and any required registration information. If the replacement attendee is not eligible for the same rate or registration category, any price difference must be paid before the transfer is finalized.
If both in-person and virtual registration options are available, ALV may allow a registration to be changed from one attendance type to another when space, access, and event logistics allow. Attendance type changes are not guaranteed. Any price difference must be resolved before the change is confirmed.
Code of Conduct
ALV is committed to creating a welcoming, professional, and community-centered conference environment. All attendees, speakers, sponsors, volunteers, guests, and ALV representatives are expected to treat others with respect, professionalism, and courtesy.
Conference participants may not engage in harassment, intimidation, discrimination, threats, disruptive behavior, unwelcome sexual attention, abusive language, or conduct that interferes with another person’s ability to participate in the event. Participants should also respect personal boundaries, privacy, and differing viewpoints.
ALV encourages open discussion and lively debate, but disagreement should remain constructive and professional. Conference spaces should support learning, collaboration, and the advancement of the legal video community.
If ALV determines that a participant has violated this Code of Conduct or created an unsafe, disruptive, or unprofessional environment, ALV may take appropriate action, including a warning, removal from a session or event area, denial of continued participation, or exclusion from future ALV events. Registration fees will not be refunded when a participant is removed for violating this policy.
Reporting Concerns
If you experience or witness conduct that may violate this policy, please notify an ALV representative or contact ALV at: support@legalvideo.org. ALV will review reported concerns and respond in a manner it considers appropriate under the circumstances.
Accessibility, Dietary Needs, and Special Requests
ALV will make reasonable efforts to support accessibility, dietary, and other attendee needs when those needs are communicated during registration or as early as possible before the event. Requests submitted close to the conference may be more difficult to accommodate, but ALV will do its best to help when feasible.
Attendees are responsible for providing accurate information about accessibility needs, dietary restrictions, emergency contact information, and other special requests through the registration form or by contacting ALV.
Event Schedule, Speakers, and Format
ALV may modify event schedules, speakers, session topics, venues, room assignments, meals, activities, or delivery methods when needed. ALV may also substitute speakers, adjust session times, change room layouts, or move a session to a different format when event logistics require it.
If ALV cancels the conference entirely, ALV will provide information about any available refund, credit, or transfer options. ALV is not responsible for attendee travel, lodging, missed work, or other personal expenses related to the conference.
Photo, Video, and Media
ALV may photograph, record, or livestream portions of the conference for educational, archival, promotional, or community purposes. By signing up for the conference and agreeing to terms, you consent to ALV’s use of your image, video, or other likeness for marketing and promotional materials.
Attendees may not record conference sessions, speakers, workshops, or private attendee conversations unless ALV has granted permission and the recording complies with all applicable event rules.
Privacy and Attendee Information
ALV uses registration information to process attendance, communicate about the event, support attendee safety and accessibility, manage event logistics, and improve future programming.
If the registration form includes an attendee-list option, ALV will use the attendee’s selected preference to determine whether limited professional information may be included on a public or shared attendee list. Attendees should review any separate Event Privacy and Media Notice for additional details.
Solicitation, Sales, and Promotional Activity
Attendees may network and discuss their work in a professional manner, but unauthorized sales activity, recruiting, demonstrations, distribution of promotional materials, or solicitation during conference programming may be restricted. Sponsors, exhibitors, vendors, or presenters must follow any additional terms provided by ALV.
Safety and Event Rules
Attendees must follow all venue rules, event instructions, safety procedures, and applicable laws. ALV may deny entry or remove an attendee whose conduct creates a safety concern, disrupts the event, violates venue rules, or conflicts with this policy.
How to Request a Refund, Transfer, or Registration Change
Refund, transfer, or attendance-type change requests should be submitted to ALV in writing at: support@legalvideo.org.
By checking this box and completing registration, I acknowledge that I have read and agree to this Conference Registration Policy, including that all sales are final. If I later become unable to attend, I understand that ALV asks me to consider my registration fee a contribution supporting ALV’s nonprofit mission and community programming.
